Kelayakan

Bachelor's degree in business administration, office management, or a related field preferred.

  • Must be fluent in 2 Major languages - Bahasa Malaysia and English
  • Proven experience as an executive assistant or personal assistant,
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Valis driving license and access to a car

Tanggungjawab

Calendar Management: Manage the director's schedule, including scheduling meetings, appointments, and travel arrangements. Coordinate with internal and external stakeholders to ensure timely and efficient use of the director's time.

  • Communication: Screen and manage phone calls, emails, and other correspondence on behalf of the director. Draft responses, prioritize messages, and ensure that important matters are brought to the director's attention in a timely manner.
  • Documentation and Filing: Organize and maintain files, documents, and records, both physical and digital. Ensure that information is properly filed and easily accessible when needed. Handle confidential information with discretion.
  • Administrative Support: Provide general administrative support, including photocopying, scanning, faxing, and ordering office supplies. Handle expense reports, reimbursements, and other financial tasks as needed.
  • Project Assistance: Assist with special projects or assignments as delegated by the director. Conduct research, gather data, and prepare reports or presentations as needed. Collaborate with other team members to support project objectives.
  • Relationship Management: Foster and maintain positive relationships with key stakeholders, both internal and external to the organization. This may involve liaising with clients, partners, and other executives on behalf of the director.
  • Information Management: Conduct research and gather information on various topics as requested by the director. This could involve market research, competitor analysis, or industry trends to support decision-making and strategic planning.
  • Special Assignments: Take on ad hoc projects or assignments as requested by the director. This could involve anything from conducting due diligence on potential business opportunities to organizing personal tasks or errands.
  • Communication Facilitation: Act as a central point of contact for communication between the director's office and other departments. Relay messages, requests, and updates in a timely and efficient manner.
  • Cross-Departmental Coordination: Coordinate with department heads and team members to gather information, facilitate decision-making, and resolve issues that require input from multiple departments.
  • Confidentiality: Maintain strict confidentiality and discretion regarding sensitive information related to the director's work and personal affairs. Handle confidential documents and conversations with professionalism and integrity.
